Qualify and follow up
Warmth tags, ratings, scoring, the pipeline board.
Every captured lead lands in Event Lead Capture → Leads, newest first, with the booth it came from and how it was captured.
Sorting the good from the rest
Three tools, and they answer different questions:
- Warmth tag — hot / warm / cold. A fast human judgement. Available on every plan.
- Star rating — 1 to 5, when hot/warm/cold is too blunt.
- Score — calculated automatically from the weights you set on your qualifier questions. This is the one that scales: it ranks a hundred leads consistently while you sleep.
Warmth and rating are what a rep felt. Score is what the answers say. Leads where those disagree are usually worth a second look.
The pipeline board
Switch the inbox to Board view to work leads as a pipeline: New → Contacted → Qualified → Won / Lost. Drag a card between columns to move it.
A lead that sits more than seven days in a non-terminal stage gets a red stripe and a Needs follow-up flag. That nudge is the whole point of the board — the leads that quietly rot are the expensive ones, not the ones you lost cleanly.
Duplicates
The same person often gets captured twice — once at your main stand, once at a demo pod. Leads sharing an email address are flagged so you can merge your follow-up rather than emailing them twice from two reps.
Assigning and following up
If your plan includes rep assignment, set an owner per lead so nobody is chased twice and nobody is missed.
Depending on your plan, the module can also:
- Notify a rep by email the moment a lead is captured
- Auto-reply to the visitor with a thank-you and whatever you promised at the stand
- Fire a webhook so a lead reaches your own systems immediately
These are configured per event, under the event's Settings.
Follow up within 24 hours. The main reason event leads go cold isn't the quality of the lead — it's the two weeks between the show and the first email.
Bulk actions
Select several leads to tag or delete them together — useful for clearing test captures after a dry run, or tagging everyone from one booth at once.
